Customer Support Engineering Administrator

Purpose of Role
As a valuable member of the Customer Support Engineering department, you will provide direct support to the CSE Manager and other team members including Customer support (both internal and external), coordinating engineering planning and projects with both the CSE team and other stakeholders as well as providing direct administrative support for the group.

Essential Duties & Responsibilities:

  • Daily Engineering Operations: Coordinate daily tasks of the Customer support engineering team, ensuring efficient allocation of work and timely response to customer needs.
  • Reassign work as needed, making judgments based on current workloads & priorities
  • Coordinate and maintain schedules while ensuring attention to multiple factors (location, time, etc.) and engaging in timely and clear communication with all relevant parties 
  • Handle a variety of scheduling issues/needs efficiently and with attention to detail in a fast-paced environment utilizing the required systems and procedures
  • Facilitate and participate in weekly schedule reviews
  • Organize and maintain training matrix, ensuring all personnel hold current training certificates/documents (WHMIS, Norcat, site orientations, etc.)
  • Ensure team members complete and submit required documentation timely and accurately
  • Actively work towards meeting performance goals including but not limited to scheduling efficiency
  • Participate in special projects, and assist with additional duties or tasks, as assigned by supervisor
  • Create and maintain system equipment project id
  • Accurately track project progress and completion status
  • Support engineering team with computer issues, etc
  • Standardization of Processes: Support the implementation of standardized service and support processes, ensuring consistent practices are followed across all sites and that documentation aligns with company-wide expectations.
  • Customer Interaction: Maintain strong relationships with site contacts and customers, ensuring a high level of service and professionalism is delivered.
  • Coordinate and support travel logistics for engineering team including booking hotels, accommodations, and flights, ensuring alignment with project timelines.
  • Generate and maintain weekly and monthly internal and customer‑facing reports aligned with the Engineering team’s activities, performance metrics, and objectives.
  • Continuous Improvement: Identify opportunities for process improvements and contribute to initiatives that enhance service delivery, and team performance.

 

Qualifications:

  • Post‑secondary diploma or degree in one of the following:
    • Business Administration
    • An equivalent combination of education and relevant experience may be considered.
  • Proven experience coordinating multiple people, schedules, and priorities in a fast‑paced operational environment
  • Experience working in a team environment.
  • Attention to detail in documentation, and compliance tracking
  • Proficiency in MS Office Software (Word, Excel, PowerPoint, Sharepoint)
  • Strong interpersonal and communication skills, with the ability to interact effectively with customers, team members, and cross-functional teams, proficiency in other languages is an asset
  • Ability to work independently and take initiative, while maintaining alignment with team goals and company standards.
  • Excellent organizational and time management skills, with the ability to prioritize tasks in a dynamic environment.
  • Commitment to health, safety, and environmental compliance in all work activities
  • Willingness and ability to travel internationally, with a valid driver’s license and Passport

Working Conditions:

  • Office/Shop setting
  • Travel may be required to visit MacLean Branches domestically and globally. A valid passport is required.

  • Must be able to complete all required training
  • Must possess a valid passport and have the ability to travel to mine sites.
